These Terms and Conditions (“T&Cs”) govern the legal relationship between the organizers of The Cocoon Retreat OG (hereinafter “the Organizers”) and the participants (hereinafter “you” or “Participant”) of the event. By purchasing a ticket and participating in The Cocoon, you agree to the terms outlined below.

1. Booking & Contract

By completing your booking and payment via our online system, a binding contract is established between you and the Organizers. You confirm that you have read and accepted all event details, including the content, structure, venue and duration. If you have any uncertainties, it is your responsibility to request further clarification before booking.

2. Cancellation & Ticket Transfers

Tickets are non-refundable. You may transfer your ticket to another person up to 48 hours before the event starts, by emailing us at inside@the-cocoon.com with full details of the new attendee.

3. Changes & Cancellations by the Organizer

We reserve the right to change the event schedule, venue or facilitators, provided that the core character of the retreat remains intact. We reserve the right to cancel the event. In that case, you will receive a full refund. We reserve the right to postpone the event. You can then keep your ticket or transfer it to someone else.

4. Participation, Safety & Conduct

Participation is at your own risk. You are fully responsible for your physical and emotional wellbeing throughout the event. The Organizers may exclude participants from the event at any time due to behavior that disturbs the group experience, breaches house rules or endangers safety. No refund will be provided in such cases. Participation is only valid for the person named on the booking.

5. Photography & Media

Selected workshops or sessions may be documented by photo or video. These will be clearly marked in advance and participants will be informed before entering the space. By attending these marked sessions, you agree that imagery may be captured and used for documentation or promotional purposes by The Cocoon. If you do not wish to appear in any published material, you have the right to request removal. You may do so by contacting our team within 7 days after you receive the first draft of the pictures via mail and we will promptly delete or edit the relevant content wherever possible.

6. Privacy & Data Handling

We collect and process your personal data (name, contact, billing info) solely for the purpose of handling your booking. Your data is treated confidentially and will not be shared with third parties, except where necessary (e.g. payment provider).

7. Venue & Accommodation

While accommodation is not included in the ticket price, a room booking is required to participate in the retreat. Please refer to our website for the accommodation partner’s booking conditions.

8. Legal Framework

These Terms are subject to Austrian law. Place of jurisdiction is Vienna, Austria, unless otherwise required by law.
